General

These privacy notices apply to the publication management system PUB, which is operated by Bielefeld University.

User account

In order to enter publication data into PUB, a user account is required. User accounts are automatically generated for all Bielefeld University scientists from the database of the Directory of Staff and Departments/Identity Management (PEVZ/IDM). As a rule, non-members of Bielefeld University do not have access to the PUB system.
The following information is automatically recorded: BIS-ID/Uni-ID, first name, last name, email address, username, title, and, if applicable, photo-URL (from the PEVZ).

Other user-specific data

Logged-in users have the possibility of permanently storing further data in the PUB database. These data include the PUB-Alias, ArXiv ID, GitHub username, Google Scholar profile, INSPIRE ID, ResearcherID, Scopus Author ID, and ORCID ID (regarding the latter, see also the following section).

ORCID synchronization

PUB offers logged-in users the possibility of synchronising their own records with ORCID in the form of metadata (information on title, author(s), URL, DOI, etc.).
To use the ORCID functionality, one-off authentication and authorisation in ORCID are required. With this step, PUB is granted the reading and writing rights required to synchronise the publications. The data thus transmitted by ORCID – the ORCID iD and the access token – are permanently stored in the PUB database, so that no re-authentication and re-authorisation in ORCID are required.

Session cookie

In order to be able to provide certain services, a session cookie is created that remains valid only for the duration of the session (until the browser is closed).

Collection of usage statistics

PUB participates in the Usage Statistics Service of the European open science infrastructure OpenAIRE. This service is subject to the EU General Data Protection Regulation (GDPR). The following data are transmitted:

  • ID to identify PUB as a client of the OpenAIRE Usage Statistics Service
  • anonymized IP address
  • action performed (view or download)
  • URL of the document
  • time stamp
  • the web browser and, if applicable, the operating system of the requesting system
